How we collect and use your personal data

We receive your personal data directly from a number of sources including directly from you if you buy event insurance through www.ventoinsurance.com or partnered comparison sites; information that your browser sends us when you visit our site including your IP address, browser type, browser version, pages that you visit on our site; information from any social network or online account that you share with us. We also use Google Analytics as a business tool.

You are not obligated to provide us with your personal data but without it we will be unable to provide you with our services.

The personal data we collect and use is:

  • Your first name(s) and surname to identify you as the policyholder and the primary point of contact in relation to any quotes generated and policies purchased or to identify you as a claimant as part of our insurance claim process.
  • Your company name and address, postcode and email address
  • The name and date of birth of the artist or performer

How we use your information:

We collect and use personal information about you to enable us to provide a quotation and to administer your insurance policy throughout its lifecycle. It may also be necessary to collect and use your personal data to safeguard against fraud and money laundering, and to meet our general legal and regulatory obligations.

  1. To provide our service we use it to:
    • Provide quotations and administer your insurance policy.
    • Track, analyse and improve the services we provide you and other customers.
  2. To meet our legal obligations. We use it to:
    • Prevent illegal activities such as fraud and money laundering
  3. With your consent, we use it to:
    • Market third party products and services (see table below) where we think these services may be of interest to you by your preferred method/s: telephone, SMS, post or by Email. You can always unsubscribe from receiving these communications after opting in by clicking ‘unsubscribe’ at the bottom of the communication.

How we share your personal data

It is sometimes necessary to share your personal information with relevant third parties. We may share your information with

  • The insurer as noted in your insurance policy schedule as part of our contractual obligation to notify them of the risk they are underwriting
  • The Financial Conduct Authority who are our regulator
  • Analytical, Know Your Customer (KYC) and cyber security providers
  • Fraud prevention agencies who will use it to prevent fraud and money-laundering and to verify your identity. We’ll also share it to comply with the law; to enforce our Terms
and Conditions; or to protect the rights, property or safety of
us, our customers or others.

How long will we keep your information

We will only hold your personal data for as long as is necessary for the purposes for which it was originally collected. The longer of seven years from the expiry date of your policy or the date after its expiry and otherwise meet our legal and regulatory obligations.

Your Rights

You have a right to:

  • Know what specific personal data we hold on you in our records, and request a copy of that data
  • Have your personal data corrected or removed if it is inaccurate or incomplete.
  • Have your personal data deleted from our systems.
  • Restrict the processing of your personal data
  • Object to the processing of your personal data, for example for communication, or direct marketing.
  • Withdraw consent to having your personal information used for marketing purposes

Your personal data is not used for any automated decision making or profiling. If you choose to restrict the processing of your personal data, we may not be able to continue to provide you with our services.

We will comply with any restriction on the processing of your personal data unless fulfilling your request would reveal information about another person, or if you ask to delete information which we are permitted or required by law to keep.

What we will not do

We won’t share identifiable personal data with third parties for their direct marketing unless you give us permission.

Where we store your data

The data we collect from you is stored encrypted inside of the European Economic Area (“EEA”). Your personal data is not transferred outside the EEA.

When we store your data we:

  1. Use industry standard means of securing your personal information.
  2. Encrypt your information when we send it over the internet.
  3. Try to seek partners that also encrypt your information.

If you would like to make a complaint about our handling of your personal data, please contact the Compliance Manager at the address and email above and we will do our best to deal with the issues that you have raised as quickly and fairly as possible. If you are still unhappy you can complain to the Information Commissioner’s office through https://ico.org.uk/concerns

Changes to this policy

Like most websites, we use cookies on the Vento website. Cookies are small text files used to store information on web browsers.
